Linking to a Downloadable File

In some cases, you may want a user to be able to download a Word document, an Excel spreadsheet, or a PowerPoint file. In these cases, the ssLINK/contentID method for creating a hyperlink will not work. Please follow the steps below.

Check in the file to be downloaded, then go to the Content Information page.

Click on the right-hand icon under Actions. The Content Information page will appear.

Actions example

Select "Send Link by Email" from the Actions pull-down menu near the top right corner. An email message with three links will appear.

Copying the URL

Copy the Native File Link and close the email message.

Access the content that needs the link to the above file per the instructions found on this site.

Select the text that needs to be the hyperlink, then select Hyperlink from the Insert menu (PC – Control key + K; Mac – Apple key + K).

Paste the hyperlink into the Address field (PC) or Link field (Mac) and click OK.

Save the document and check it back into the content server.

Troubleshooting

If you find the links do not work, check the following Word Setting:

Tools > Options > General (tab) > Web Options (button at the bottom) > Files (tab)

and be sure the "Update links on save" option is unchecked.
