SECTION ONE: Curriculum Vitae, Faculty Annual Reports, and Other Information

General Information

  • Number the vitae pages
  • Do not break the vitae into various sections of the dossier
  • Include only the last three annual reports and put the most recent one on the top.
  • Don’t forget to include a leave statement. Only go back three years. List the year and semester only - do not give reasons. Example: “No leave of absence without pay during the last five years.”
  • You must include letters of acceptance from editors, or publishers, if you list the publication on your vitae as "in press."

Curriculum Vitae

Vitae should include a list of:

  • degrees, fields of study, and dates awarded
  • professional registrations, licensures, certifications (as applicable)
  • all professional appointments
  • complete publications record with:
  • publications and other evidence of scholarship/creativity
  • listed according to the kind of entry, e.g., books, reports, chapters, articles, and other materials
  • works that are forthcoming, in press, accepted, or under submission clearly labeled
  • the names of the co-authors listed in the order in which they appear in the publication
  • beginning and ending page numbers for articles and total number of pages for books
  • clear designation of the faculty member’s role if it is not author (e.g., editor, compiler, translator, or some other role)
  • list of all advising and related student service, administrative and committee service, and professional public service, as well as other evidence of merit or recognition.

Research contracts/Grants and proposals submitted with:

  • sponsor name
  • project title
  • project period
  • co-PIs and relative effort of each, where appropriate
  • funding amounts (by academic year and amount under candidate's supervision)
  • for proposal, an indication of the status of each (e.g., submitted, approved,
  • pending funding)
  • patents issued (as applicable)
  • other evidence of merit or recognition

Co-Authored Works and Works Forthcoming

Co-authored works - submit a separate page that indicates who co-authors are (e.g., current or former students, peers of faculty colleagues at UT Austin or at another institution).

Co-authored works involving faculty colleagues or peers - indicate the relative division of labor between the candidate and any co-authors.

Works that are forthcoming (i.e., accepted, forthcoming, or in press) – submit letters of acceptance from editors or publishing houses; reviews, where available, should be included.

A copy of Faculty Annual Reports (FAR) filed for the last three academic years, i.e. 2005-06, 2006-07, 2007-08. The following should be attached to each FAR.

(Faculty who were at a different institution for any of the past three years may file an annual report submitted to that institution or omit a report for that year.)

Leave Statement

Include a separate page describing any leaves taken without pay during the last five years. Include the period of each leave and the percent time of the leave. If no leaves without pay were taken during the five-year period include a statement to this effect. (Sample: Joe Smith did not take any leaves of absence from X year to X year.)

(Note: The following are not leaves without pay: release from the instructional budget including Faculty Research Assignments, Dean’s Fellows, appointments to grants/contracts, and special faculty assignments.)

Supplemental Material

Candidates have the discretion to include any materials they believe are relevant to the promotion or tenure decision. Any additional and/or supplemental materials should be placed in a separate folder clearly identified as supplemental. (e.g., J.J. Smith – Supplemental Materials). This folder shall accompany the promotion file at each level or review.
