Developing a Position Description for Performance Evaluations

Begin with a two-to-four sentence purpose of the job

Keep list of primary functions to 6-8 and use a numbered list with percent time assigned to each function area

Begin each sentence with a verb in present tense

Write in complete sentences and outcome terms

Include enough detail in each function to fully explain the expected outcome (behavior, material, equipment) without writing a procedures manual (how-to step-by-step)

Use asterisks or bullets to separate performance items from primary functions

Write enough detail to explain the outcome

Identify criteria for performance that Meets Expectations and Exceeds Expectations for each outcome to be evaluated

Review work for grammar and punctuation

Have a peer review work for grammar, punctuation, and clarity

Have employee and supervisor review for understanding

Develop and review a document with each employee

Every document must include:
“Professionalism: Observes work rules and practices covered during the orientation process and practices appropriate conduct as outlined in the University’s Handbook of Operating Procedures, Section 9.49, Standards of Conduct, Section III.”

Revise at least once/year with employee(s) and as needed to reflect work being completed and evaluated
