Room Support: Special Events

Guidelines

To help ensure you will have a successful presentation or special event in CMA, contact our Help Desk (CMA 5.110, 471-1199) as far in advance as possible. We recommend at least 72 hours.

Here are a few tips:

• Provide the event date, time, location, and purpose.

• Let us know of any special equipment needs – you can check out equipment from the Instructional Media Center in CMA 5.110

• Pre-load presentation files (Powerpoint, Word, etc.) on console computers prior to the presentation. Always make a copy to keep in a safe place as a backup. If you're setting up a special event, have your presenters give/mail you their files in advance of their arrival.

• We can double-check any equipment you intend to use and provide training on the setup and use of the equipment

Failure to take these steps 72 hours in advance could result in technical problems.

Checklist

• Have you notified the Help Desk 72 hours in advance of your special event?

• Have you rehearsed your presentation with all of the equipment you will be using?

• Does your presentation file format match that of the applications on the computers in your room?

• Have you saved your files to a CD or USB key for transfer to your room's computer?

• Do you have a backup plan if anything goes wrong?
