Office space – if it is available - is provided to Visiting Scholars by the departments with which they are associated.
Parking permit – the Dean of Graduate Studies will send out a letter of acceptance to the scholar and his/her nominator, which will entitle the visiting scholar to an "A" parking permit. The visitor will be responsible for paying the permit fee.
Recreational facilities – visiting scholars are eligible to use the gym or any other recreational facilities, but there is a charge for this, which must be paid in advance. The visitor will be responsible for paying the fee for the recreational facilities.
Faculty discounts – visiting scholars are entitled to the same discounts on campus events as every other member of the UT faculty.
Identification card – will be provided to you after you obtain a letter from the Dean of Graduate Studies. The primary purpose of this ID is to enable you to use the library.
Computer access – to acquire computer access, the department that the visiting scholar is affiliated with must send a letter to the Dean of Graduate Studies requesting this access separately. This is not an assumed benefit, so it will take longer to process this request. The visitor will have to pay any charges incurred with his or her computer account.
Insurance Program - In the interest of protecting our international students, and visiting faculty, the Board of Regents of The University require that all international students and J-1 visa-holders (as well as the accompanying spouse and dependents of J-1 visa-holders) to be adequately covered by health insurance. Any visiting scholar, whether employed by The University or not, whose IAP-66 form for a J-1 visa has been processed by the International Office at UT is eligible for the same type of insurance as that which is available to students. The insurance program is one of the important matters covered in the orientation program for our international guests.
A recommendation for the appointment of a Visiting Scholar originates in a department of The University. The Office of Graduate Studies has a standard application form, printable from the web, entitled, "APPLICATION FOR APPOINTMENT AS A VISITING SCHOLAR." It should be accompanied by a vita, a brief note describing the circumstance of your guest’s visit, and an Intellectual Property Agreement form. The nominating faculty member is responsible for obtaining the signature of the Visiting Scholar on the Intellectual Property Agreement, as well as the signatures of the department chair and the academic dean of the college and sending it to the Office of the Vice President and Dean of Graduate Studies at Main 101 (G0400), before the visitor arrives at The University. It should take about five days to process the paperwork outside of the college.
The request for appointment of Visiting Scholar is sent to and approved by the Vice President and Dean of Graduate Studies. A certificate of appointment is sent to the scholar via the sponsoring faculty member along with notice of appointment to the sponsoring department.
If the visiting scholar is from outside the U.S. then their host department must request visa documents from the International Office for the visitor’s visa application and entry to the U.S.
Visiting Scholars normally are expected to give a public presentation at some point during their visit. This presentation provides an opportunity for the Visiting Scholar to share his/her work with faculty and students in the College as well as across the University.
The faculty member nominating the Visiting Scholar will either serve as or designate a mentor for the Visiting Scholar during the length of the Visiting Scholar's stay. The faculty mentor serves as an academic liaison for the Visiting Scholar.
The department hosting the Visiting Scholar will designate a staff contact in the department to facilitate normal activities with the Visiting Scholar and faculty mentor.
